In today's fast-paced work environment, employees have an overwhelming amount of information at their fingertips, which can paradoxically hinder productivity rather than improve it. Traditionally, when a worker needed answers (such as a new employee trying to understand a complex dashboard or onboarding process), they were forced to navigate away from their current task to search through separate knowledge base articles or intranets. Such searching might prove fruitful, or it might directly add to a worker's stress thanks to constant context-switching and a fragmented workflow.
ServiceNow’s Screen Summarization feature aims to cut through all that noise. Rather than requiring users to read through lengthy records, activity streams or dense workspace views, Screen Summarization distills information on the screen into what matters most, so workers can act faster and with more confidence.
To explore the need for screen summaries further, Reworked interviewed Pratik Contractor, Senior Manager, AI Platform Product Management at ServiceNow. We discussed the current challenges employees face around information and cognitive overload and explored how offering proactive assistance to everyone can raise employee productivity across the board.
Solving Information Overload with Contextual Delivery
Access to information alone doesn't translate to productivity if users are overwhelmed. Contextual delivery reduces digital noise and speeds decision-making by minimizing productivity losses from context switching. When users operate within a shared context layer, they spend less time tracking down missing information.
Screen summarization aids in contextual delivery by synthesizing this data into concise, actionable insights. Data is then delivered directly within the user's workflow (in context), eliminating the need to navigate away or use external AI tools to find answers.
By organizing and presenting complex data in a concise, digestible format, the tool meets users directly on their active page. "Workers need information presented in a way that's easy to understand," Contractor said.
This seamless, in-context approach has a profound impact on employee well-being and performance. Reducing cognitive load is universally beneficial; when employees are less stressed by information overload and disjointed software, they become significantly more engaged in their daily tasks. Ultimately, this decrease in cognitive friction translates into a direct, positive impact on a company's bottom line.
Raising Productivity for Everyone in Enterprise Software
The complexity of modern digital workplaces (characterized by a mix of cloud-based applications and inconsistent interfaces) often creates fragmented and frustrating user experiences, particularly for those relying on assistive technologies. Too frequently, accessibility is an afterthought, bolted on to existing tools and platforms without having the appropriate design philosophy behind it.
ServiceNow takes the opposite approach, with its Inclusive by Design framework. At ServiceNow, accessibility is embedded at every development stage and Screen Summarization is no different. Screen Summarization was originally designed with visual impairments and cognitive differences in mind, specifically catering to blind and screen-reader users. “Reducing cognitive load is good for everybody, because the less stressed that people are, the more engaged they can be in their work," Contractor said.
This has tremendous applications for these groups. According to recent research, neurodivergent employees are 55% more likely to use AI than their neurotypical colleagues. “When we lead with accessibility, it reduces support costs and becomes a business accelerator," Contractor said.
However, the technology has productivity implications that go far beyond the original intended user base. The resulting reduction in cognitive load and stress provides a universal benefit to the entire workforce. This is a prime example of the curb cut effect, where designing for the margins improves the experience for all. The lesson for enterprise leaders is that universal design and inclusive policies don't just help a minority — they raise the bar for all workers.
Offering Proactive, Intelligent Assistance
AI works at its best when slotted into workflows in a non-disruptive manner. Unlike standard generative AI search tools or summaries where users must actively ask questions to get the results they’re looking for, Screen Summarization works dynamically in the background to proactively deliver the signals that users need in the moment. It acts less like a search engine and more like an intelligent assistant that anticipates what context is needed.
"With other tools, there is summarization, but you usually have to go somewhere else and ask for it,” Contractor said. “The approach we've taken is to bring the information straight to the user right where they are. This way, Screen Summarization understands what you’re doing and makes information more contextual and actionable.”
Intelligent Design for Everyone
By acting as an intelligent assistant that delivers proactive, contextual insights exactly where employees need them, Screen Summarization cuts through digital noise and eliminates the friction of constant context-switching, increasing employee productivity. “Productivity isn’t about people working more or harder,” Contractor said, “It’s about removing the barriers to work."
Crucially, while this feature is rooted in ServiceNow's Inclusive by Design framework to support users with disabilities, it shouldn’t be dismissed as an exclusively assistive technology accommodation. Rather, Screen Summarization positions enterprise software as proactively accessible rather than retroactively compliant. By leading with universal productivity value, the feature drives faster comprehension and cleaner workflows for everyone.
Ultimately, accessibility is a competitive differentiator. ServiceNow’s platform features prove that designing for the entire workforce creates a smarter, more engaged, and highly productive environment for all.
