M-Files integrates with Microsoft 365 to enhance document management capabilities for enterprise customers.

In Brief

  • Native Integration Launched — M-Files content is now natively stored in Microsoft 365.
  • AI and Compliance Enhanced — Users gain improved AI, collaboration and security features across platforms.
  • Enterprise Productivity Improved — Organizations relying on Microsoft 365 gain streamlined workflows, reduced risk and better ROI.

M-Files and Microsoft announced an expansion of their partnership on July 1, which allows M-Files content to be stored directly in Microsoft 365. The result brings native Word, Excel, PowerPoint co-authoring into M-Files documents and means the classifications and rich metadata from M-Files Aino, the company's AI system,  feeds directly into Microsoft 365 Copilot.

According to company officials, this unified offering addresses pain points for business and IT users by providing a centralized environment for document management.

Impacted Audiences for the M-Files and Microsoft Integration

  • Midsized and enterprise organizations using Microsoft 365.

  • Information management and compliance professionals.

  • IT departments managing document systems in regulated industries.

Why Knowledge Management Strategy Is Evolving Beyond AI Hype

AI-supported knowledge management is gaining traction as organizations face growing volumes of unstructured information and look for more efficient ways to manage and access it.

M-Files, which serves more than 6,000 customers globally, is extending its partnership with Microsoft at a time when knowledge management priorities are shifting. Companies are moving beyond standalone AI tools and focusing instead on scalable strategies that support knowledge transfer and automation.

Microsoft continues to expand its Copilot ecosystem, with SharePoint now processing over two billion file uploads daily. Yet analysts caution that Copilot’s utility remains uneven across use cases, with adoption often slowed by organizational readiness and change management demands.

M-Files new integration with SharePoint Embedded aligns with a broader trend of enterprise software partnerships aimed at making content management more responsive and structured. The company says the move will support Microsoft 365 Copilot by improving content discovery, reducing fragmentation and maintaining compliance controls — longstanding challenges in knowledge-centric environments.

This partnership marks a pivotal moment for M-Files and the industry. As the first document management system to use both Microsoft 365 and its API-only service, SharePoint Embedded, we have fundamentally changed how enterprise content is managed and accessed at scale.

M-Files Background

Antti Nivala founded M-Files in 2002 in Tampere, Finland to address document and information management challenges. The company focuses on serving midsized and large enterprises, particularly in professional services firms, manufacturers and other compliance-driven organizations seeking to modernize legacy systems and improve operational efficiency.

It has received over $155 million in venture capital backing over a series of five funding rounds, including the most recent in 2024, where the company was acquired by Haveli Investments.

Its core platform provides metadata-driven document management, automated workflows and integrations with common digital workplace tools such as Microsoft 365 and Salesforce. The solution supports compliance, improves information governance and reduces manual effort by enabling users to find and manage content based on context rather than location.
